Privacy Policy – United Conservative Caucus 

The United Conservative Caucus (the “Caucus”) is committed to protecting the privacy of our constituents, newsletter subscribers, and individuals who interact with us. This Privacy Policy outlines our practices regarding the collection, use, and disclosure of personal information in compliance with Alberta’s Personal Information Protection Act (PIPA) and other applicable privacy legislation. 

1. Commitment to Privacy 

The Caucus is dedicated to maintaining the confidentiality and security of personal information. We adhere to the principles of fair information practices and comply with all applicable privacy legislation in Alberta. 

2. Scope of Policy 

This policy applies to all personal information collected, used, or disclosed by the Caucus, including information collected through our website (unitedconservativecaucus.ca), town halls, surveys, petitions, and other interactions. This policy does not apply to employee personal information or impose limits on the collection, use, or disclosure of business contact information or publicly available information. 

3. Accountability 

The Caucus is accountable and responsible for personal information under its control. The Caucus has designated a Privacy Officer who is accountable for overseeing our compliance with this policy and PIPA. 

The Caucus has adopted procedures to protect personal information, receive and respond to complaints and inquiries, train staff regarding privacy policies and procedures, and communicate these policies to you. 

4. Purpose 

We collect personal information for the following purposes: 

  • Constituent Engagement: Communicating with Albertans about government initiatives, legislation, and community events. 
  • Casework & Advocacy: Routing inquiries to the appropriate Member of the Legislative Assembly (MLA) to assist with constituent issues. 
  • Newsletters & Updates: Sending requested information, press releases, and caucus newsletters. 
  • Feedback & Surveys: Analyzing public opinion through surveys and petitions to better represent the views of Albertans. 
  • Meeting Legal Requirements: Complying with legal and regulatory obligations. 
  • Site Optimization: Improving our digital services and understanding user needs. 

The above purposes are reasonably necessary in your relationship with the Caucus. Third-party applications (such as analytics or social media plugins) may use technologies to track your online activity. 

5. Consent 

We will obtain consent for the collection, use, or disclosure of personal information, except where permitted or required by law. Consent can be express (e.g., verbally, in writing, or electronically via a signup form) or implied (e.g., by providing information for a specific purpose, such as asking an MLA for help). You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw consent, please contact our Privacy Officer. 

6. Retention of Personal Information 

We will retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. When personal information is no longer needed, we will securely destroy or anonymize it. 

7. Accuracy 

We strive to maintain accurate, complete, and up-to-date personal information. If you believe your information is inaccurate, please contact our Privacy Officer to update it. 

8. Safeguarding Personal Information 

We have implemented reasonable physical, technical, and administrative safeguards to protect personal information from unauthorized access, use, disclosure, alteration, or destruction. These safeguards include: 

  • Secure storage facilities. 
  • Password protection and access controls. 
  • Data encryption (SSL) for online data transmission. 
  • Regular security assessments. 
  • Staff training on privacy practices. 

9. Providing Access 

You have the right to request access to your personal information held by the Caucus. To request access, please submit a written request to our Privacy Officer. We will respond to your request within 30 days, subject to applicable exceptions under PIPA. 

10. Changes to Policy 

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. The revised policy will be posted on our website. We encourage you to review this policy periodically.

12. Definitions 

  • Personal Information: Information about an identifiable individual, including but not limited to name, address, phone number, email address, and survey responses. 
  • PIPA: The Personal Information Protection Act of Alberta. 
  • Caucus: The United Conservative Caucus.
